Summary

Under the general supervision of the Major Gifts Administrator, the Fund Development Student Assistant supports the day to day functions of the Fund Development Office by helping to stimulate public awareness and interest in W. M. Keck Observatory's (WMKO) work through boutique maintenance, marketing, donor relations activities, public events and informational materials.

Essential Functions

  • Assist with the management of retail sales of the KeckWear boutique by:
    • Maintaining and updating product inventory as well as maintaining the sales recordkeeping database
    • Handling sales (in-house, public events, and via phone)
    • Maintaining the professional presentation of KeckWear inventory on display
    • Keeping the inventory clean and tidy
    • Restocking lobby displays as needed
    • Ordering necessary products, as well as updating the KeckWear items on the iPad
    • Handling the money tracking and recordkeeping system; biweekly closing of the cash box
    • Working with and training WMKO volunteers (Guidestars) on boutique related matters
  • Maintain the W. M. Keck Observatory Keck Nation subscription list; upload new subscribers.
  • Assist with preparations and activities related to special events, such as mailing invitations, creating name badges, gathering handouts and mailing appeals. Provide support of various responsibilities at public lectures and special events both on and off site.
  • Greet visitors and orient them to lobby displays and informational materials. Ensure equipment is clean and working properly. Maintain lobby brochures and other information. Keep track of visitors via guest book in lobby and ensure information is entered into the filing system.
  • Maintain and update the Fund Development and KeckWear iPad applications, ensure all information is up to date and correctly displayed.
  • Compile and file corresponding donation documentation, upload documentation to correct files in Raiser's Edge constituent database.
  • Assist in design and layout of articles, flyers, reports, slideshows, boutique database, and various educational materials for distribution to public including the distribution of information through email, poster, and online calendar postings.

Additional Responsibilities

  • Assist with clerical tasks as needed.
  • Edit/Proofread educational/informational materials.
  • Assist in the upkeep and organization of Fund Development office supplies.
  • Create, edit and follow protocols within the scope of the position.
  • Respond to requests for informational and specific resources.
  • Perform other duties consistent with the scope of the position.

Required Qualifications

  • High School student in good standing.
  • Ability to work occasional evening events. 

Desired Qualifications

  • Interest in Astronomy and/or WMKO.
  • Experience working with PhotoShop
  • Experience working with Microsoft Office

Skills

  • Ability to read and understand policies, directives, and instructions in English.

This job operates in a professional office environment. This role may use standard office equipment such as computers, telephones, photocopiers, filing cabinets and fax machines.
